Roadmap privacy controls

Control who can open a Roadmap and understand which Requests each visitor can see.

Overview

Roadmap access controls who can open a Roadmap. Portal access and Request visibility still apply inside it, so two people who open the same Roadmap can see different Requests.

Choose who can see a Roadmap

  1. Open Settings → Requests → Management and select 'Roadmaps'

  2. Open the Roadmap you want to change

  3. Open Visible by and choose its audience

The audience choices are:

  • Everyone: Anyone who can access your portal

  • Team members: Choose All team members to include every member of your Workspace

  • Segments: Customers who match the selected segments

Team members and segments combine into custom access rules. Selecting Everyone replaces the narrower selection. Audience changes on an existing Roadmap save as soon as you select them.

Understand the access layers

A customer must pass each access check in order:

  1. Portal access: Can they access your Customer Portal?

  2. Roadmap audience: Can they open this Roadmap?

  3. Category and Request visibility: Can they see the Requests inside it?

Use category access and Request visibility to control the Requests themselves, and Customer Portal access to control entry to the portal. The Feedback Portal must be enabled for customer-facing Roadmap pages to be available.

Important: A Roadmap does not make a private category or Request public. Restricting a Roadmap limits who can open it, not what those people can see inside it.

Use the correct customer identity

Segment-based access depends on the customer's identity and data, so Featurebase must know who the visitor is before it can apply a segment rule.

For embedded Roadmaps, use customer identification. For portal sign-in and SSO, follow the shared Customer Portal access guide.

Test access before sharing

Open the Roadmap as a customer from the intended audience and check both the page and its Requests. When restricting access, also test a signed-out visitor and a customer outside the audience.

Important: Do not use your teammate session as the only test. Teammates with permission to manage Roadmaps can open a Roadmap's configuration even when they are outside its customer audience, so your Workspace permissions can show you access that customers do not have.
